COMMERCIAL REAL ESTATE SALES AGENT PERSONAL ASSISTANT
As our Commercial division continues to grow, we’re looking for an organised, proactive and motivated Personal Assistant to support our Commercial Sales Agent and wider commercial team. This is an exciting opportunity for someone who thrives in a busy environment, enjoys keeping things organised and takes pride in providing a high level of administrative and client support. You’ll play an important role in helping our Commercial Sales Agent stay focused, prepared and connected with clients while ensuring the day-to-day sales process runs smoothly. Previous real estate experience would be advantageous; however, we also welcome applicants with strong administration, customer service or professional support experience who are eager to develop their career within commercial real estate.
Job Description
Working closely with our Commercial Sales Agent, you will provide day-to-day administrative, organisational and client support across commercial sales and leasing activities. The role will involve coordinating appointments, preparing documentation, managing client communication, assisting with property marketing and maintaining accurate records throughout the sales and leasing process. You will be someone who can anticipate what needs to happen next, manage competing priorities and confidently communicate with clients, buyers, tenants and other stakeholders.
Key Responsibilities
- Provide day-to-day administrative and personal assistant support to the Commercial Sales Agent.
- Manage calendars, appointments, meetings, property inspections and follow-up activities.
- Assist with the preparation of property appraisals, proposals, presentations and listing documentation.
- Coordinate sales and leasing documentation and ensure records are accurate and up to date.
- Liaise professionally with property owners, purchasers, tenants, solicitors, conveyancers and other stakeholders.
- Assist with client follow-up, database management and maintaining strong ongoing client relationships.
- Coordinate property marketing campaigns, including photography, signage, online advertising and marketing materials.
- Prepare and upload property information across relevant real estate platforms and internal systems.
- Assist with buyer and tenant enquiries and coordinate property inspections where required.
- Monitor key dates, contracts, settlements and campaign milestones.
- Support prospecting and business development activities, including database communication and follow-up.
- Maintain confidentiality and handle sensitive client and business information professionally.
- Work collaboratively with the Commercial Agent, Marketing Team and wider Complete Real Estate team.
Key Requirements
- Certificate IV in Real Estate Practice is required either completed or willingness to obtain.
- Strong organisational and time-management skills with excellent attention to detail.
- Ability to manage multiple priorities and work effectively in a busy environment.
- Excellent written and verbal communication skills.
- Professional, approachable and confident when communicating with clients and stakeholders.
- Strong administration and computer skills, with the ability to learn new systems quickly.
- Proactive and solutions-focused, with the ability to anticipate the needs of the Commercial Sales Agent.
- Ability to work independently while contributing positively to a team environment.
- High level of discretion, professionalism and confidentiality.
- Previous experience in real estate, property, administration, executive assistance or a similar professional environment would be highly regarded.
- Knowledge of commercial real estate sales and leasing processes would be advantageous but is not essential.
- Current Australian Driver’s Licence.
